Personal data processing by the PATRIZIO PAOLETTI FOUNDATION. 

The current legislation, defined in relation to EU Regulation 2016/679 of April 27, 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation) ensures that the personal data processing is carried out with respect for the rights, fundamental freedoms and dignity of natural persons, with particular reference to confidentiality, personal identity and the right to protection of personal data by ensuring that the data is processed lawfully and accurately.

In light of these criteria, the PATRIZIO PAOLETTI FOUNDATION with registered office in ROME, Via Nazionale 230 – Cap: 00184 email fondazione@fondazionepatriziopaoletti.org,

data controller of your personal data, informs you, as interested party, that:

  1. the personal data, communicated by you, and their changes that you will want to communicate in the future, are necessary for the full compliance to the the law arising from your activity as a volunteer;
  2. this is information, therefore, without which the volunteering relationship would not be established or continued properly. The above-mentioned data are in fact necessary in order to comply with what is prescribed by civil law, hygiene and safety at work and to implement the services that the volunteer is entitled to;
  3. in the course of this relationship, following your possible notification, the foundation may become aware of particular categories of data that are suitable for revealing a state of health (e.g.: documentation relating to a possible disability situation, certificates relating to absences due to illness, maternity, accident), membership of a trade union (assumption of trade union posts, request for withholding of trade union membership fees), membership of a political party (request for leave of absence or leave of absence for elective public offices, paid absence for the performance of the office of list representative), religious beliefs (request for use of religious holidays, as provided for by law). In any case, processing of this type is carried out in full compliance with the provisions of the law;
  4. all the documentation you provide us with, at the time of your registration and during your volunteering relationship, is kept by our foundation;
  5. our foundation has designated the subjects authorized for processing and the data processors; The interested party may obtain a complete and updated list of all the data processors appointed by our foundation by contacting the aforementioned data controller, based at the offices of the PATRIZIO PAOLETTI FOUNDATION, indicated in point 1. of this notice. We also inform you that some of the data processors appointed by our foundation may avail themselves, in Italy and abroad (EU and non-EU countries) of the services of third parties, whether institutional or commercial, for the performance of processing operations relating to personal data, also with reference to particular data categories of the interested party.
  6. your personal data may be communicated to corporate bodies and associations for professional, sporting, recreational and cultural purposes;

All personal data concerning you will be kept by our foundation strictly for the time needed to manage the above-mentioned processing purposes. The data that does not need to be kept for legal obligations or for the legitimate interest of the owner will be deleted after 24 months from the cessation of the needs related to the purposes indicated in this statement; the data processing is also carried out with the aid of IT electronic and automated means, through terminals and PC’s connected with a mainframe and using tools that guarantee security and confidentiality. Moreover, the methodologies applied guarantee the non-interference of processing relative to the various purposes and the limited access to the persons in charge for each of the purposes inherent in your relationship as a volunteer with the writer.

All information and data (with the exclusion of special categories of personal data referred to in Article 9 paragraph 1 of EU regulation 2016/679) that will be collected with the tools made available by the foundation to make its voluntary work possible, including e-mail and internet, may be processed by the foundation for purposes related to the volunteer relationship, even as part of the controls carried out by the latter for organizational and production purposes, for the safety of work and for the protection of corporate assets, however, in compliance with the provisions of the general data protection regulation.

Your consent to the communication of your personal data for the purposes indicated in point 6 is optional and conditions the services listed in the same point.

Finally, we remind you that the interested party has specific rights, including the right to obtain confirmation of the existence or not of his/her personal data, even if not yet recorded, the communication in an intelligible form of the same data, of their origin as well as the logic and the purposes of the processing itself. The interested party may also obtain the cancellation, transformation into anonymous form or blocking of data processed in violation of the law as well as updating, rectification or, if interested, integration of data; may also request the limitation of processing and the portability of data to another controller. The interested party also has the right to oppose, in whole or in part, for legitimate reasons, the processing of personal data, even if pertinent to the purpose of collection. You may apply to the guarantor by filing a complaint in the forms provided by law.

Third party categories who may be communicated to in order to pursue the purposes set out in the notice.

The controller may need to communicate your personal data to third parties, belonging, by way of example, to the following categories:

(a) subjects that provide support services for the execution of the activities you have arranged regarding the relationship in place;

c) subjects who take care of the packaging, shipping and storage of documentation relating to the relationship with the interested party;

d) other subjects, which the institution uses for various reasons, for the supply of the product or service requested;

e) subjects that provide services for the management of the institution’s computer system;

f) subjects that provide professional consulting services and fiscal, legal and judicial assistance;

g) subjects that audit and certify the financial statements;

h) supervisory and control authorities and bodies, and, generally public or private subjects with public-law functions;

Furthermore, only for natural persons whose data is in the possession of the data controller, for reasons other than the mere support of projects (donors), in light of the institution’s particular activity and in compliance with sector regulations, the Patrizio Paoletti Foundation may also have to communicate your personal data to the following categories of institutions:             

j) institutions belonging to the Interchange System established by the Ministry of Economy and Finance and/or institutions involved in the process of transmitting electronic invoices.
